Administrative Assistant Job Description
FLSA Status: Non-Exempt
Effective Date: March 2025
Position Type:
- Part-Time (24-27 hrs/wk September to 1st week June; 16 hrs/wk 2nd week June to Labor Day)
- This role requires the employee to be present in the office during working hours
Overview:
To serve as an Administrative Assistant in the church office, acting as a point of contact for members and visitors. Provide office support for the Pastor, Church Council, Committees, and other church staff as needed. Organize and manage church communications, records and schedules.
Responsibilities:
- Serve as a primary point of contact for St. Andrews through in person, telephone and e-mail communication.
- Provide administrative support to the Pastor and other church staff.
- Assist with church volunteer schedules and regular communications for lay assistants, lectors, ushers, etc.
- Prepare and distribute church bulletins, newsletters, and other communication to the congregation.
- Assist with electronic communication through the church website and e-mail distribution lists (e.g. Mailchimp)
- Assist with coordinating and scheduling events and facility usage.
- Coordinate office equipment and order office supplies.
- Maintain and update church records, including membership and contact databases, new member information, attendance and contributions, etc.
Skills and Behaviors:
- Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), E-mail and office equipment (phone systems, copiers, etc.).
- Ability to maintain confidentiality and manage sensitive information.
- Friendly and approachable demeanor with a service-oriented attitude.
- Ability to work independently and as part of a team.
Qualifications:
Required:
- Previous experience in an administrative role.
Preferred:
- Experience in a church or religious setting.
- Familiarity with church management software, e.g. Church Windows
Accountability and Reporting:
- Reports directly to the Pastor
